Close your eyes and imagine your have just produced the most successful event ever and you have the luxury of polling the attendees as they leave.  What did they say?  “I really learned a lot” or “I feel appreciated”.  Those desired answers are the foundation of your program goals and core mission objectives.  Every element of your program should support these objectives.  If it doesn’t, you don’t’ need it.

It’s all about Repetition:  Information is great, but it has to stick to be effective. Here is a simple presentation tip to aid the memory-retention of any audience:

Start with the right footprint:  Ask your A/V provider or meeting planner how much space and time your program really needs.   Meeting planners can help you maximize value with advice on adjusting room rental fees and food and beverage minimums.  Once you have selected a room, keep in mind a seated person is 4’6” tall so don’t focus on elements less than or they will not be seen by your audience.   Increase your room effectiveness by seating at crescent rounds.  Conducive to team building activities and interaction, this arrangement provides all a clear view to the stage without a stiff neck.  Have meals inside the business theatre instead of incurring the costs of a separate meal room.

<p><strong>Executive Reputation Management:</strong>   Protect your Leadership!  In addition to securing necessary rehearsal time for your a/v team, encourage your Leadership to participate in a short, straightforward executive walkthrough.  If your presenters need rehearsal time, keep the rehearsals private, never in view of attendees.  Getting presenters familiar with the greenroom area, confidence monitor and graphics system will keep them focused on their message because they know you have everything else handled.  Use voice overs for intros and housekeeping announcements so your presenters don’t have to explain where the bathrooms are.</p>
<p><strong>Make the most of your marketing material:</strong>  You may already have a multi-million dollar arsenal available.  If your organization has commercials, promotional videos, and ads intersperse them into your meeting.  Use them as transition pieces and increase the perceived value of your meeting at no added expense.</p>
<p><strong>Use safe special effects:</strong>  A sure way to create a moment of impact is through the utilization of special effects.  Forget traditional pyrotechnics and all their baggage.  Instead, use technology based effects that are Fire Marshal approved.</p>

Every year, Allstate’s top performers are recognized at their Sales Summit.  The Sales Summit is a multi-faceted program that includes a General Session for over 600 attendees, a Keynote Presentation Forum and Awards Segment.  OPTICS was tasked with designing a business theatre that was both reverent enough to celebrate the top performers’ accomplishments and financially accountable to the current economic situation.  The solution was a set build that featured the pre-existing Cyber Ice Set.  With the press of a button on the lighting board, we were able to customize separate design looks that accommodated and distinguished all segments of the program.  This design, coupled with a 9 foot circular screen that solely featured company branded materials, made the environment uniquely Allstate.</p>

CitiFinancial’s Chairman’s Forum is a four-day employee incentive program designed to recognize and reward attendees for their achievements.  This year’s Forum was held at the JW Marriott, Desert Ridge.   The meeting’s theme and content “Elements of Success” provided by our partner Fish Eye, were blended into the elements of Fire, Water, Earth and Sky.  The elements were illustrated through the creation of a dynamic set design, and video production that featured screen blending technology.   By weaving technology and mission supportive visuals throughout the program,  attendees were acknowledged with a unique and memorable experience.</p>

The opening ceremony for Super Bowl XL, “A Detroit Salute,” was a black-tie celebration of Detroit’s automotive heritage, sports history and music legacy. ABC/ESPN broadcaster Mike Tirico led guests on a journey to celebrate Detroit as well as Super Bowls of the past and present.  The evening included a presentation from the CEOs of General Motors Corporation, Ford Motor Company, and DaimlerChrysler Corporation, live performances by great Motor City entertainers such as Kem and the Four Tops and recognition of the 40 moments that define Detroit Sports.  Some of the sports legends in attendance were Joe Dumars, Al Kline, Barry Sanders, Bo Schembechler, Lloyd Carr, Desmond Howard, Scotty Bowman, and Jim Brandstater.  Our team, in partnership with Roger Penske and The Detroit Super Bowl XL Host Committee continued the tradition that Jim Nantz began with this gala celebration of Detroit at the spectacular Fox Theatre.  Steven Simmons was awarded the prestigious Global Paragon Award from Meeting Planners International for excellence in planning &#8220;A Detroit  Salute.&#8221;</p>

<p><strong>1. Envision your ultimate goals.</strong> Close your eyes and imagine you’ve just produced your most successful program ever. Your audience leaves, buzzing about what they’ve just experienced. What do you want to hear them saying? Write down these desired outcomes.<br />

<strong>2. Look for patterns.</strong> Review the range of desired reactions you’ve collected. What are the common themes and most important takeaways?</p>
<p><strong>3. Define key objectives.</strong> Use the cluster of ideas you’ve created as the basis for defining your core mission objectives — the key goals the experience you’re creating must achieve. List your core mission objectives.</p>
<p><strong>4. Use key objectives to inform your special effects choices.</strong> Remember, a dollar that gets you closer to achieving your core mission objectives is an investment. A dollar that doesn’t get you closer is an expense.</p>

The NCAA Final Four Salute is perhaps the highest profile event associated with the NCAA Tournament.  The intent of this one-day event is to recognize the teams and individuals associated with the tournament, which is second only to the Super Bowl in worldwide viewership.  The objective of this year’s event was to design and develop an entire room environment that projected the NCAA as cutting edge, while enriching its already popular brand.  Optics utilized its in-house rendering capabilities to design the look, and incorporated our own equipment to deliver the end result.    More importantly, we seamlessly integrated these deliverables with the event management company (Company 20) to create what Host Jim Nance called “the best Men’s Salute to date”.  Post-program evaluation identified our competitive pricing, turnkey services (include in-house graphics creation), and creative ideas as the deciding factors in our selection.</p>
